Start with the work you need to finish

Campaigns connect briefs, assets, audiences and results. In this category, define success as the ability to run a reliable multi-step workflow.

Make ownership and final approval visible. Translate that priority into a requirement that another person can observe, such as completing a handoff without extra instructions or recovering a record after an incorrect edit.

Prepare a realistic sample

For this trial, use a form submission that creates a CRM contact, assigns a task and logs a result. Keep the inputs consistent across candidates and avoid real personal information during initial testing.

Run these checks

  • Build one real workflow using synthetic records.
  • Send the same event twice and inspect duplicate handling.
  • Intentionally fail one step and inspect retries and alerts.
  • Estimate monthly usage from the steps that are actually billed.
  • Change a campaign brief and trace the effect on the work in progress.

Build a shortlist around the workflow

Make

A visual platform for building connected workflows, automations and AI agents. Explore it when you want to inspect the steps and branches of a workflow.

Count billable usage for a complete run, including retries.

Zapier

An automation platform connecting apps through workflows, alongside forms, tables and AI tools. Explore it when your required applications and actions are available as connectors.

Verify the exact trigger, action and authentication required by each connection.

n8n

A platform for building and inspecting AI agents and multi-step workflows. Explore it when someone on your team can own workflow implementation and maintenance.

Decide who will maintain credentials, errors and changes to connected services.

Compare the total cost

Use successful workflow run as a starting unit, then list recurring fees, usage, implementation and the time someone will spend maintaining the setup. Compare current usage with a plausible growth scenario. The lowest entry price is not necessarily the lowest cost for the complete workflow.

Decide what would stop the purchase

  • Does the exact trigger and action exist for each app?
  • How are retries, polling and multi-step runs charged?
  • Who will own credentials, incident alerts and maintenance?

Write down your mandatory requirements before the trial. If a candidate fails one, record the limitation and either verify a workaround with the vendor or remove it from the shortlist. Do not let an attractive optional feature hide a failed requirement.
