SOURCE-BASED ANALYSIS · NO HANDS-ON RATING
Specify the export contract
HubSpot's record export downloads current property values and selected associations. By default, the export includes properties and associations from the view, with customization options for broader selections. The documentation treats contact activities separately and describes other extraction methods for them. Therefore a valid record file is not automatically a complete history or restorable backup of the CRM.
Our recommendation is to name the purpose first: analysis, a narrow customer handoff or a platform migration. Each purpose requires a different set of objects, relationships and historical context.
A fictional account-handoff export
Assume a team wants 12 companies, their 25 relevant contacts and 15 active deals handed to another authorized operator. Define the expected IDs and relationship pairs. A contact export alone cannot establish that the right people are associated with the right deals.
For this example, include company ID, contact ID, deal ID and the properties needed to interpret each record in a migration worksheet. The exact output structure depends on the chosen export; the worksheet is an editorial reconciliation aid rather than a promised HubSpot file layout.
Choose the data deliberately
- Record the object, view filters and purpose of the export.
- Confirm the exporting user has the required authorization.
- Inspect the property and association selection options.
- Keep stable identifiers and the field definitions needed by the receiver.
- Export a small sample and reconstruct its intended relationships.
- Compare the full authorized scope by ID sets, not only totals.
Check large association sets
The official guide distinguishes default association limits from an all-associated-records option available for CSV. If an account has unusually large related-record sets, inspect those options and reconcile a representative high-count case. Do not infer that an apparently populated association column includes every related ID.
Our recommendation is to declare exclusions explicitly. If activities, emails or files are needed, inventory them separately and verify their supported extraction method. A successful property export does not settle those other migration requirements.
Preserve meaning and scope
A field label can be translated while its values retain another language or business convention. Keep a data dictionary for option values, currencies, timestamps and custom properties. Note the export time so later source changes are not mistaken for extraction errors.
For a fictional pilot with one company, two contacts and three deals, inspect every association pair and the important properties on each record. A matching count of three deals can conceal a deal linked to the wrong company.
Validate the receiving process
Our migration advice is to trial the destination with synthetic records before declaring the export usable. Compare resulting identities and links, including missing optional fields and a contact with multiple relevant relationships. Protect the exported data and limit access to the authorized purpose.
If a receiver cannot reconstruct an important relationship, identify whether the issue is source selection, export structure or destination mapping. Re-exporting every field may increase data exposure without solving the join.
Acceptance criteria
Accept the deliverable when the authorized IDs reconcile, required associations can be reconstructed and known exclusions are documented. This is an editorial export-validation procedure, not a completed migration test or a guarantee that a CSV supports full restoration. Check current documentation for the exact supported export options in your account.
