SOURCE-BASED ANALYSIS · NO HANDS-ON RATING
Define the deliverable before exporting
Notion documents export options including HTML and Markdown with CSV for databases. Subpages have an explicit inclusion choice. Its current export guide says database exports can use the current or default view, rather than exporting all views at once. Workspace export excludes pages the exporting account cannot access.
Our recommendation is to define the intended reader's required evidence first. A successful download does not demonstrate that every relevant page, view or file is present and usable.
A fictional six-page handover
Assume a consultant needs to deliver a project overview, four supporting pages and a request database. One supporting page is outside the main page hierarchy. The current database view shows only open requests, while the handover requires both open and completed work.
Create a six-item inventory and a separate expected request list. These are hypothetical planning inputs, not a completed export or a claim that a particular account has access.
Prepare the scope worksheet
- Pages: list required references and hierarchy locations.
- Database population: state whether the current view matches the required records.
- Subpages: decide whether they must be included as separate files.
- Attachments: list the files a reader must be able to inspect.
- Exporter: identify the authorized account and its known scope.
- Reader: choose a format that can be opened in the intended environment.
Inspect the resulting package
- Choose the supported export format and declared scope.
- Record the source page, view and export date.
- Open the downloaded output locally.
- Locate every representative page, including the separately located supporting page.
- Reconcile request identities against the expected population.
- Open a representative attachment and inspect relevant internal links.
- Record omissions and repeat with a corrected scope only after understanding the cause.
Distinguish portability from restoration
Our continuity advice is to treat a readable handover package and a fully restorable application as separate requirements. A team might be able to read exported content while still needing a distinct plan to reconstruct its database behavior, relationships and collaboration process.
If future recovery is essential, design and rehearse that recovery using synthetic data before relying on the export as the only continuity measure. Keep a short explanation of the package's structure and known exclusions with the delivered files.
Acceptance criteria
Accept the export when the required page and record inventory matches the package, representative files open and the reader understands its limits. A missing export option requires a current permission or organizational-control review; do not work around it by broadening access casually. This guide is a source-based verification procedure, not an export action, backup certification or claim that every Notion feature can be recreated from downloaded content.
