SOURCE-BASED ANALYSIS · NO HANDS-ON RATING
Specify the meaning before creating the field
Pipedrive supports custom fields for its data entities, with available properties and limits depending on plan and permissions. Leads share the lead/deal field structure. The official guide notes that a custom field's type cannot be changed after creation and deleting a field also deletes its existing data. These constraints make a small data dictionary useful before implementation.
Our recommendation is to create a field only when someone can name a decision, action or report that needs it. A field without an owner, meaning or collection process can add friction without producing useful information.
A fictional project-intake dictionary
| Proposed field | Business meaning | Design question |
|---|---|---|
| Service requested | The offer being discussed | Should values come from a controlled list? |
| Target start date | Customer's requested timing | Is unknown different from not yet asked? |
| Source reference | Origin-system identity for reconciliation | What guarantees its stability? |
| Qualification evidence | Reason this opportunity is active | Who updates it and when? |
These are illustrative field names, not a required Pipedrive template. Put organization-wide facts on the organization when appropriate and opportunity-specific facts on the opportunity. A company can discuss two services at once; one person-level field should not silently overwrite the context of both deals.
Choose types with sample values
- Write a definition and example value for each proposed field.
- Choose the correct entity and inspect its existing default fields first.
- Test normal, missing, boundary and invalid values against the proposed type.
- Define allowed options and the meaning of blank values.
- Check how the field will be imported, filtered, exported and used by integrations.
- Assign an owner for future definition or option changes.
Keep unknown separate from zero
For a fictional budget field, blank may mean not discussed, while zero may mean the customer explicitly has no allocated budget. Our recommendation is to avoid coercing both into zero. Reports based on those values would answer different questions.
For dates, distinguish requested timing from a promised delivery date. A field called date provides little protection against different people recording different events. Prefer a clear definition over a large number of vaguely named fields.
Change the schema through a migration plan
If a live field uses the wrong type, assess a replacement and migration rather than assuming a rename changes its underlying structure. Inventory the values and dependent views or integrations. Keep the old field until the replacement has been reconciled and an owner has approved the retirement decision.
For an illustrative 30-record sample, count populated values, accepted blank values and values requiring manual review. Do not call a migration complete merely because the replacement column exists. Compare the intended meaning on representative records after the change.
Acceptance criteria
Accept the dictionary when a new colleague can enter data consistently, a report can interpret the values and an operator can explain the field's source and maintenance responsibility. Check current plan controls before relying on required-field or pipeline-specific behavior. This is an editorial schema-planning exercise, not a tested account configuration or an endorsement of a particular plan.
