Start with the work you need to finish

Campaigns connect briefs, assets, audiences and results. In this category, define success as the ability to deliver a project with clear ownership.

Make ownership and final approval visible. Translate that priority into a requirement that another person can observe, such as completing a handoff without extra instructions or recovering a record after an incorrect edit.

Prepare a realistic sample

For this trial, use a client project with five tasks, one dependency, a document and an external collaborator. Keep the inputs consistent across candidates and avoid real personal information during initial testing.

Run these checks

  • Assign owners and dates to a small project.
  • Change a dependency and inspect the effect on the delivery plan.
  • Invite a test guest and check what they can see.
  • Find a decision and its supporting document without asking a colleague.
  • Change a campaign brief and trace the effect on the work in progress.

Build a shortlist around the workflow

Asana

A work and project management platform for coordinating team activity. Explore it when task ownership and cross-team coordination are the main challenge.

Recreate a project handoff and inspect visibility for each participant.

ClickUp

A workspace bringing together projects, documents, chat and other work tools. Explore it when your team wants several work activities in one workspace.

Configure the smallest useful workspace before adding more features.

Notion

A workspace for capturing knowledge and organising work with AI tools. Explore it when team context and documentation are central to the work.

Test how people find the latest decision and keep ownership clear.

Compare the total cost

Use paid team member as a starting unit, then list recurring fees, usage, implementation and the time someone will spend maintaining the setup. Compare current usage with a plausible growth scenario. The lowest entry price is not necessarily the lowest cost for the complete workflow.

Decide what would stop the purchase

  • Which collaborators count as paid seats?
  • How do permissions behave across shared spaces and documents?
  • Can you export tasks, comments and attachments together?

Write down your mandatory requirements before the trial. If a candidate fails one, record the limitation and either verify a workaround with the vendor or remove it from the shortlist. Do not let an attractive optional feature hide a failed requirement.
