Airtable CSV exports: inspect view scope and save attachments

Prepare an Airtable export that accounts for visible fields, individual tables, omitted context and attachment files rather than treating one CSV as a full backup.

SOURCE-BASED ANALYSIS · NO HANDS-ON RATING

Define what the export must preserve

Airtable documents CSV export at the view level. Visible field values are included, but some context, including record comments and field descriptions, is not. Tables are exported separately; attachment fields contain filenames and temporary URLs rather than embedding durable copies of files. Define the handover requirement before selecting a convenient view.

Example: a project handover

Suppose a project has twelve task records, three reference documents and comments explaining two exceptions. A useful handover needs the tasks, the actual documents and an explanation of the exceptions. Downloading a filtered view with eight tasks would not satisfy that requirement, even if the CSV opens correctly. These are illustrative counts for a rehearsal, not export limits.

Prepare the export set

  1. List each table needed for the handover and identify its relationship keys.
  2. Choose the intended view scope and inspect filters and hidden fields.
  3. Export each relevant table separately and compare identifiers and counts with the requirement.
  4. Save required attachment files while their export links remain usable, then verify local files open.
  5. Preserve required comments or field explanations through a separate documented handover method rather than assuming they are in the CSV.

Reconstruct one relationship

Select one task and trace it to its project in the exported files using stable identifiers you deliberately included. Check non-ASCII text, dates and a blank value when opening the CSV in another application. Record the export time, view name, filters and expected row count in a manifest so the recipient can distinguish omitted data from intentionally excluded data.

Know the limit of the artifact

Call the result a scoped data export unless you have also documented how to restore the relationships, files and operational configuration you require. A CSV that preserves task names may still be insufficient to rebuild automations or a working interface. Decide what must be recoverable and perform a sample reconstruction before deleting or replacing the original base.

Continue with Airtable CSV merge: choose a key and reconcile updates when that next step matches your workflow.
