Airtable sync: assign ownership before sharing a source view

Plan an Airtable one-way sync with explicit source ownership, destination fields, sample checks and a separate policy for local enrichment.

SOURCE-BASED ANALYSIS · NO HANDS-ON RATING

Decide which base owns each field

Airtable sync can bring a source view into destination bases. Its documentation distinguishes basic one-way sync from two-way and multi-source configurations, with plan-specific availability. Start by choosing the simplest arrangement that matches your editing needs; copying a table and maintaining an ongoing source relationship are different operations.

Example: a central supplier directory

Imagine Operations owns supplier identifiers and official names, while Procurement adds a local review note. Write a field contract: supplier ID and official name belong to Operations; the Procurement note belongs to the destination workflow. This prevents two teams from treating the same field as independently authoritative. Use invented suppliers in the rehearsal.

Create a controlled trial

  1. Check sync availability and the permissions of the people setting up the source and destination.
  2. Prepare a source view containing only the fields and records the destination actually needs.
  3. Enable the view for syncing and configure the destination as a basic one-way sync.
  4. Track one sample supplier identifier through the destination rather than comparing display order.
  5. Change the supplier name at the source and check the resulting destination value; document local-note behavior separately.

Test changes beyond a happy path

Write down expected handling for a source record leaving the view, a newly included supplier and a changed field definition. Evaluate these against the options and behavior of your actual sync configuration. Do not extrapolate deletion or write-back guarantees from a name-change example. Name an owner who can investigate an unexpected difference and keep a list of consumers that depend on the source view.

Choose sync or reviewed imports

Use sync when a durable source relationship and its ownership fit the workflow. Use a reviewed batch import when every update should be reconciled before acceptance. If several destinations need to edit shared business data, research two-way sync explicitly instead of assuming a basic one-way setup will propagate local corrections upstream. This guide does not assert any freshness service level.

Continue with Airtable CSV merge: choose a key and reconcile updates when that next step matches your workflow.
