THREE STARTING POINTS
Start with the work you need to finish
Roles, candidates and client requirements evolve in parallel. In this category, define success as the ability to send a relevant campaign and follow-up sequence.
Restrict access to candidate information and record permission to use it. Translate that priority into a requirement that another person can observe, such as completing a handoff without extra instructions or recovering a record after an incorrect edit.
Prepare a realistic sample
For this trial, use a test audience with consent records, two segments and a three-message welcome sequence. Keep the inputs consistent across candidates and avoid real personal information during initial testing.
Run these checks
- Create a test segment and check how duplicates and unsubscribes behave.
- Build a welcome sequence with an exit condition.
- Preview the email on desktop and mobile before sending to your own test addresses.
- Check domain authentication instructions and export a suppression list.
- Use synthetic candidate data to test a handoff and deletion request.
Build a shortlist around the workflow
Brevo

Build the subscription, welcome and product-launch journey you actually need.
Mailchimp
A marketing platform offering email campaigns and marketing automations. Explore it when campaign creation and audience management need a shared workflow.
Check contact billing rules and the automation features in the selected plan.
Compare the total cost
Use active subscriber and send volume as a starting unit, then list recurring fees, usage, implementation and the time someone will spend maintaining the setup. Compare current usage with a plausible growth scenario. The lowest entry price is not necessarily the lowest cost for the complete workflow.
Decide what would stop the purchase
- Are inactive, unsubscribed or duplicate contacts billable?
- How are transactional messages and SMS charged?
- Can consent history and suppression data move with your audience?
Write down your mandatory requirements before the trial. If a candidate fails one, record the limitation and either verify a workaround with the vendor or remove it from the shortlist. Do not let an attractive optional feature hide a failed requirement.
